We’re Here Now Films.Crew for Edinburgh shoots, from a video production company.

Agencies, production companies and brands book our crews, and so do teams flying in from the US and Europe. Our documentary The Living Layer was named Overall Winner at the 2026 Edinburgh Conservation Film Festival, part of the Edinburgh Science Festival, and for AlTi Tiedemann Global we’ve made six productions in London and New York with crews booked where the people were. An Edinburgh day might be an interview in a New Town office, a street scene in an Old Town close, a stage at FirstStage Studios in Leith or the concourse at Waverley, and our producers know who has to say yes to each, from Film Edinburgh to Historic Environment Scotland and Network Rail. If you need the film made as well as shot, that’s our video production in Edinburgh.

Day rates, paid in full

Every crew member is paid their full day rate. Our booking fee and insurance go on your side of the quote, not theirs.

Local crew first

When a shoot needs more hands, or a role Edinburgh is short of that week, we bring crew in from elsewhere in Scotland, the north of England or London, with the travel on the quote before anything is booked.

Rates and set-ups

Crew rates in Edinburgh. The benchmark, our rate, and what goes on top.

We price every role against the APA/Bectu card: the rates the APA agrees with Bectu for commercials, and the clearest benchmark the industry has. Each role’s page sets our day rate against it, and that rate goes to the crew member in full. On top go our 10% booking fee and 2% insurance, on everything we book for you, kit included. Edinburgh adds a few lines of its own, each shown separately: Film Edinburgh’s Notice of No Objection, £56 plus VAT for a crew under ten; a suspended parking bay at the pay-and-display rate for every hour it’s out of use; and Edinburgh’s Low Emission Zone, where a van or car below Euro 6 diesel or Euro 4 petrol is sent a £60 penalty, so we only book vehicles that meet it (checked October 2026). If we take the production on, it’s quoted as a production instead.

Two ways to book

One question sets the price: who’s the producer of record?

Crew hire

You run the shoot.

10% + 2% booking fee and insurance, on everything we book for you: crew, kit and travel.

We do

  • Find, book and brief the crew, and pay them
  • Book kit, travel and hotels too, if you want them
  • Send the full price before anything is booked
  • One person to call all day
  • Employers’ liability for the crew we book, and insurance on kit we hire in

You do

  • Run the shoot, or your producer does
  • The plan, the schedule and the call sheet
  • The location, its permission and its public liability
  • Responsibility for the production: you’re the producer of record

What the 2% insures: employers’ liability for every crew member we book, and the kit we hire in for you. Nothing else on the shoot. A large kit rental may need extra insurance, as its own line on the quote.

Full production

We’re the producer of record.

15% + 5% production fee, plus insurance and contingency, on the whole production budget. Quoted as a production.

We do

  • Our producer plans it with you and runs the day
  • Locations, permits, kit, studio, travel and hotels, booked and paid in our name
  • Insurance for the whole shoot, public liability included, plus the risk assessment and the call sheet
  • One contract and one invoice, so overseas teams need no UK company

You do

  • The creative calls
  • Signing off the plan and the budget

What the 5% pays for: our production insurance across the whole shoot, £10m public liability included, and the contingency.

Not sure which you need? If your own producer or director will run the day, it’s crew hire. If you want us to take the production on, it’s a full production quote. VAT on top of both. 50% by card when you book, 50% on receipt of the final rushes.

Worked example. Crew hire: a DOP and a sound recordist for one day £1,568 + VAT
DOP, day rate£850
Sound recordist, day rate£550
Booking fee, 10%£140
Insurance, 2%£28
KitTheir own, or hired in at the same 10% + 2%
Total£1,568 + VAT
Worked example. Full production: the same two and our producer, before kit £2,220 + VAT
DOP, day rate£850
Sound recordist, day rate£550
Our producer, day rate£450
KitAt cost, under the same 15% + 5%: a two-camera interview kit is from £765 a day
Production fee, 15%£277.50

Every day rate is for an 11-hour day including lunch, with overtime at card rates, agreed with you before it happens. The card is the APA/Bectu commercials rates from 1 September 2026, fixed until at least August 2027. Each role’s rate is in the crew above, and set against the card on its own page.

Most bookings need more than people. We sort these with the crew, and each one gets its own line on the quote. The permits, parking and drones are also summarised just below.

Wet hire with the crew’s own kit, which often comes in cheaper, or dry hire: Lights Camera Scotland, between the city centre and the airport, with 24-hour collection; Live Systems on North Leith Sands for sound, lighting and camera; and Wex Rental’s click-and-collect on Haddington Place. Bigger camera and lighting packages come from Glasgow or London.

For interviews and product days, smaller studios are hired by the day. Set builds go on the quote with the crew.

Firearms and replica weapons go on the Film Edinburgh application, and Historic Environment Scotland wants to see the certificate for any replica gun before filming at its sites.

Permits, parking and drones

Filming in Edinburgh: permits, parking and drones

Filming on council land in Edinburgh goes through Film Edinburgh, the City of Edinburgh Council’s film office, which also handles East Lothian, Midlothian and the Scottish Borders. On a full production we apply for all of it; on a crew hire it’s yours, and we’ll tell you who to ask.

Who says yes

Film Edinburgh for council streets, parks and kirkyards, and for anything that touches the roads. Historic Environment Scotland for Edinburgh Castle and Holyrood Park, Network Rail for Waverley, and the owner for anything private.

What the permits cost

Film Edinburgh’s Notice of No Objection is £56 for a crew under ten, £166 for 11 to 24 and £331 for 25 to 74. A park is £79 for under four hours with five people or fewer, then £189 an hour, and a large shoot in a city-centre kirkyard, Greyfriars among them, is £357 an hour. A crew of 40 or more also pays a film office administrative fee, from £276. All plus VAT, 2026–27 (checked October 2026).

Insurance and the rules on the day

Every application needs £10m public liability, and the production agrees to the council’s Code of Practice and Scotland’s single-use plastics ban. If children are on camera, the production confirms it knows the Protection of Children (Scotland) Act 2003 and checks that no one in a childcare role is barred from working with children. A small crew filming on the street with nothing closed off still tells Film Edinburgh first, so it can let local officers and Police Scotland know.

The Castle and Holyrood Park

Historic Environment Scotland cares for Edinburgh Castle and Holyrood Park, and nothing is filmed without its written permission through a filming liaison. Fees start at £300 for up to two hours on site, with road closures in Holyrood Park and base units charged on top, and HES wants to see the certificate for any replica gun before filming begins (checked October 2026). Drones need its consent as well. Historic Environment Scotland on filming

Parking and the Low Emission Zone

A parking dispensation lets a working vehicle stop on a yellow line, from £16 a vehicle with at least 24 hours’ notice, through the council’s parking contractor, NSL; pay bays can be suspended with three working days’ notice, and Film Edinburgh can co-ordinate both. Suspended bays are charged at the pay-and-display rate for every operating hour of the suspension, and vehicle access to Calton Hill or Princes Street Gardens is £140, in a 4×4 insured for off-road driving. Edinburgh’s Low Emission Zone covers the city centre with no daily charge: petrol cars and vans must meet Euro 4 and diesels Euro 6, and one that doesn’t is sent a £60 penalty, then £120, £240 and £480 for repeats within 90 days (checked October 2026). The council’s parking charges · the Low Emission Zone

Drones and the airport

Taking off or landing on council land needs the council’s permission through Film Edinburgh: the Operator ID and Flyer ID, public liability and drone insurance, and a risk assessment and method statement with the maximum height and the flight plan. Drone filming permission in a park is £184 an hour plus VAT (2026–27). Drones of 2 kg to 25 kg can’t be flown over residential, commercial or recreational areas at all, and flying near the tram network needs an Authority to Work permit as well. Around Edinburgh Airport, inside the flight restriction zone, you need air traffic control’s permission, and on Historic Environment Scotland’s land, Holyrood Park included, its consent too. Film Edinburgh on drones

Waverley

Edinburgh Waverley is a Network Rail managed station, and has been a location for Trainspotting 2 and The Lost King. Corporate and commercial filming is £750 an hour for up to ten crew, two hours minimum, plus VAT, with up to £10m public liability, and while the platforms are being expanded some areas may be off limits (checked October 2026). Network Rail on Waverley

August

The Fringe, the International Festival and the Tattoo fill the Old Town every August. When Baby Reindeer filmed mid-Fringe, Film Edinburgh pointed the production to a reduced crew on the Royal Mile. For anything bigger than a small crew, we’d plan another month. Film Edinburgh on Baby Reindeer

Sources

Every figure here was checked October 2026, with Film Edinburgh (its 2026–27 fees and application and drone guidelines), the City of Edinburgh Council on filming and on the Low Emission Zone and parking charges, Historic Environment Scotland, Network Rail, Film Edinburgh’s production guide and the CAA. Fees change, so we confirm them on every quote.

How we pick
and vet crew

A call first, then past work and references, checked against the role and the brief. We source crew for each job from our books and our network, and rebook the people who do well.

We book crew who live in and around Edinburgh first, and bring them in from elsewhere in Scotland, the north of England or London when a shoot needs more hands, with the travel on the quote before anything is booked. If a building wants every name, vehicle registration and kit list before the day, from a university building to a conference centre, we send them with the booking.

It was a pleasure collaborating with the team at Here Now Films (Ed, Meg, and Ted). They created two videos for our drug and alcohol charity, WithYou in Cornwall, highlighting the recovery journeys of our clients and showcasing the outstanding work our staff does every day. Matt Dunstan
Here Now Films is always my first call when filming internationally in the UK. This was my second time working with them, and once again, they delivered above and beyond. On our most recent trip, they supported us a phenomenal key production assistant throughout the UK and a great DP in Manchester (a new city for us). They matched the exact camera and lighting kit I use back in the States keeping things consistent for our brand. What really stood out this time was the support from our key PA. He personally ushered me and my U.S.-based DP to every single shoot location throughout the week, and even drove me from London to Manchester. Always on time, if not early, and an excellent driver. I’ve always been uncomfortable driving on the opposite side of the road when traveling internationally, so that accommodation made a huge difference. The first time we worked together in London, they provided a full crew and both shoots ran flawlessly. Communication is always smooth, the team is kind, professional, and incredibly easy to work with. Most importantly, our clients are always happy when they’re involved. Looking forward to many more future projects together. Here Now is truly a go-to partner in the UK!
Response from the owner:Hey Matt, Thanks so much for the kind words. Honestly blown away by the above. If you ever need film crew support or video production assistance across London or the rest of the UK, we're here to help. Hope you and the team have a great end to the year in the USA! Best, Ed

These guys are fab and we will keep working with them in the future
Response from the owner:Thanks a lot Will, next time you need a TV Commercial we’ve got you covered.

I worked with a crew of four people from Here Now Films for a pilot project. Morgan, the organiser, was very proficient and quick to respond to communications. We met for the first time on the day with a bit of a hazy plan for a tricky shoot, but the crew took it all in their step and the final product was great. Would recommend.
Response from the owner:Thanks so much for the kind words Joe, it was a pleasure working on this with you. If you need us again, we’d be stoked to jump in and help.

Crew in Edinburgh?
Join the list

We can crew a shoot anywhere in Edinburgh and the Lothians, from an interview day to a week on a stage in Leith, and we’d rather book crew who live here than put a unit on the train from King’s Cross. We pay you your full day rate on every job: our fee goes on the client’s side of the quote, not yours. Joining is free, and we only post real jobs. Openings at Here Now Films

Hiring a film crew in Edinburgh: questions

How much does it cost to hire a film crew in Edinburgh?

You pay each crew member’s day rate, which goes to them in full, plus our 10% booking fee and 2% insurance on everything we book, kit included. A DOP and a sound recordist for the day comes to £1,568 + VAT. Edinburgh adds its own lines to the quote: Film Edinburgh’s Notice of No Objection, £56 plus VAT for a crew under ten, and a suspended parking bay at the pay-and-display rate for every hour it’s out of use (checked October 2026). If we’re the producer of record, it’s quoted as a production instead: everything at cost, plus a 15% production fee and 5% for insurance and contingency, and every production starts at £9,500.

Do you have crew in Edinburgh, and can you scale up?

Yes. We’re a crew agency with 2,800+ freelance crew on our books across the UK, so we can scale a crew from one person for a morning to a full unit for a week. We book crew in and around Edinburgh first. When a shoot needs more hands, or a role Edinburgh is short of that week, we bring them in from elsewhere in Scotland, the north of England or London, and the travel is on the quote before anything is booked. We don’t have an Edinburgh office: our producers run Edinburgh shoots from our bases in London, Manchester, Bristol and Cornwall, and our headquarters is at 124 City Road, London.

What’s the difference between crew hire and a full production?

Who’s the producer of record. With crew hire, you or your producer run the shoot and carry the production: we find, book, brief and pay the crew, and book kit or travel if you want it, for 10% plus 2% insurance. With a full production, we take it on: our producer plans and runs it, and we book and pay for the crew, kit, locations, the Film Edinburgh, Historic Environment Scotland and Network Rail permissions, and travel in our name, on one contract. That’s quoted as a production: everything at cost, plus 15% and 5% for insurance and contingency.

How far ahead should I book a crew in Edinburgh?

Our team reads every brief within 2 working hours and comes back with names and the full price. What usually sets the date is permission, not crew. A parking dispensation wants at least 24 hours, a council park 48 hours, a suspended pay bay three working days, a road closure of under five days two weeks and a longer one ten weeks; Waverley wants five working days for a crew of up to ten (checked October 2026). In August, allow more time: the festivals fill the Old Town.

Do I need permission to film on an Edinburgh street?

On council land, yes. Film Edinburgh, the City of Edinburgh Council’s film office, permits filming on council streets, parks and kirkyards, and covers East Lothian, Midlothian and the Scottish Borders too. Its Notice of No Objection is £56 for a crew under ten, £166 for 11 to 24 and £331 for 25 to 74; a park is £79 for under four hours with five people or fewer, then £189 an hour; all plus VAT (2026–27, checked October 2026). Every application needs £10m public liability. A small crew filming on the street with nothing closed off still tells Film Edinburgh first, so it can let local officers and Police Scotland know. The Castle and Holyrood Park need Historic Environment Scotland, and Waverley needs Network Rail, each on top. On a full production we apply for all of it; on a crew hire it’s yours, and we’ll tell you who to ask.

Can you fly a drone in Edinburgh?

Yes, with the right permissions. Taking off or landing on council land needs the council’s permission through Film Edinburgh: the pilot’s Operator ID and Flyer ID, public liability and drone insurance, and a risk assessment and method statement with the maximum height and flight plan; in a park, drone filming permission is £184 an hour plus VAT (2026–27, checked October 2026). Drones of 2 kg to 25 kg can’t be flown over residential, commercial or recreational areas. Around Edinburgh Airport, inside the flight restriction zone, you need air traffic control’s permission, and Historic Environment Scotland’s land, Holyrood Park included, needs its consent as well.

How do parking and the Low Emission Zone work on a shoot?

Edinburgh’s Low Emission Zone covers the city centre, and there’s no charge to pay your way in: petrol cars and vans must meet Euro 4 and diesels Euro 6, and one that doesn’t is sent a £60 penalty, then £120, £240 and £480 for repeats within 90 days (checked October 2026). We only book vehicles that meet it. A parking dispensation lets a working vehicle stop on a yellow line, from £16 a vehicle with 24 hours’ notice; a suspended bay is charged at the pay-and-display rate for every operating hour of the suspension; and vehicle access to Calton Hill or Princes Street Gardens is £140, in an insured 4×4. Each goes on the quote as its own line.

Can you film at Edinburgh Castle, Holyrood Park or Waverley?

Yes, with the owner’s permission. Edinburgh Castle and Holyrood Park are cared for by Historic Environment Scotland, which needs written permission before any filming; its fees start at £300 for up to two hours on site, with road closures in the park and base units charged on top (checked October 2026). Edinburgh Waverley is a Network Rail managed station: corporate and commercial filming is £750 an hour for up to ten crew, two hours minimum, plus VAT, with up to £10m public liability, and while the platforms are being expanded some areas may be off limits.

Can you book a studio in Edinburgh?

Yes, on the same quote as the crew. FirstStage Studios, on Bath Road in Leith, has hosted The Rig, Anansi Boys and Department Q. It has over 100,000 sq ft of shooting space across five stages up to 25 metres high, a 60-tonne gantry crane across Stage B, and a 25-metre pit that can be used as a tank (Film Edinburgh, checked October 2026). For interviews and product days, smaller studios are hired by the day. We check what’s free for your dates, and on a crew hire the studio goes on at the same 10% + 2% as everything else we book.

Do Edinburgh crew bring their own kit?

Many own theirs, from camera packages to lighting kits, and it goes on the quote as its own line so you can compare. Otherwise we hire it in: Lights Camera Scotland hires camera and lighting kit from between the city centre and the airport, Live Systems on North Leith Sands hires sound, lighting and camera kit, and Wex Rental hands over booked kit on Haddington Place. Bigger packages come from Glasgow or London. Kit we hire in goes on at the same 10% + 2%.

Can you be the employer of record for an overseas production?

Not in the payroll sense: most UK film crew are freelance. Instead, your contract is with us, a UK company. We contract and pay the UK crew, hold £10m employers’ liability, and send one invoice, so you don’t need a UK company to shoot in Edinburgh. Your own travelling team stays on your payroll. If you’d rather we ran it as your production service company, we’re the producer of record and our policy covers the shoot, £10m public liability included.

What does the insurance on a crew booking cover?

Two things. Employers’ liability for every crew member we book, up to £10m, and insurance on the kit we hire in for you. That’s what the 2% pays for. A large kit rental may need extra insurance, as its own line on the quote. The 2% doesn’t insure the rest of the shoot: public liability, the location, your own kit and anything you book yourself stay with you, because you’re the producer of record. If you’d rather we were, it’s quoted as a full production, and our insurance covers the whole shoot, public liability included. In Edinburgh, Film Edinburgh asks for £10m public liability on every application, and Network Rail up to £10m at Waverley (checked October 2026), and on a crew hire the certificate they want is yours.
