Swanson Studios

Three days, three cities: a stills and interview studio built in Portsmouth, London and Oxford for an Oregon studio and its client, Intuitive.

  • ClientSwanson Studio, Oregon
  • Their clientIntuitive, the surgical robotics company
  • Booked asProduction service company
  • Shoot days3, 29 November to 1 December 2023
  • LocationsPortsmouth, London and Oxford
  • Notice19 days from enquiry to first shoot
  • CamerasSwanson’s own: two REDs

Swanson Studio flew in from Oregon to photograph and interview surgeons and the people around them for Intuitive. They brought the cameras. We brought everything else: lighting, sound, the crew, two vans, the hotels, and a drive from Portsmouth to London to Oxford, one city a day.

01The brief

Two sets in every room.

A stills set on grey paper and an interview set on green paper, built each morning and struck each night.

The enquiry came through our crew hire form on 10 November 2023, 19 days before the first shoot day. Swanson’s team would run the cameras themselves: their DOP and photographer on two RED cameras, a stills photographer and a studio assistant. They needed a UK team to make three locations work, back to back.

Every location got the same two sets, so the portraits and the interviews would match across all three cities. The interviews ran 10 to 20 minutes each, one after another: the call sheet had 17 slots across the three days.

02Who did what

Their cameras, our country.

Here Now Films

We ran the UK side.

  • A gaffer, with lighting, grip and stills kit from two London hire houses
  • A sound recordist, with timecode and a sound report every day
  • Hair and make-up
  • A DIT: Ollie Couch, our co-founder, backing up every card twice
  • A production assistant and driver: Ed Smit, our managing director
  • A crew van and a kit van, hotels for our crew, breakfast and lunch, the Heathrow pick-ups and the prop chairs for the portraits

Swanson Studio

They made the pictures.

  • A senior producer
  • The DOP and photographer, on two RED cameras
  • A stills photographer and a studio assistant
  • Their cameras, lenses and hard drives, in three carry-on cases
  • The creative, and the people in front of the camera

That split is how a production service job works for an overseas team: you run the camera and the creative, and we make the country work. More on it in working with a UK production service company, and how our rates work.

03The three days

Portsmouth, London, Oxford.

  • Day 1 · Portsmouth · 29 November 2023A hospital in PortsmouthSwanson landed at Heathrow at midday on the 27th, and Ed met them and drove them south. Call at 09:00, with three hours planned to build both sets, then interviews and portraits through the day. Planned wrap at seven, then on to London that night.
  • Day 2 · London · 30 November 2023A hospital in LondonThe same two sets in a new room, in the same order. Pack both vans, and drive to Oxford.
  • Day 3 · Oxford · 1 December 2023Intuitive’s office at Oxford Science ParkThe last build of the week, then back to London. The sound recordist sent the whole week’s audio, with the reports, the next day.

04On the day

How each day ran.

  • 09:00 CallCrew in, both vans unloaded, and about three hours to light the stills set and the interview set.
  • InterviewsTen to twenty minutes each, back to back, on Swanson’s two REDs, with timecoded sound.
  • PortraitsOn the grey paper set, with strobes and softboxes, and a few chairs for the sitters to play with.
  • DataOur DIT ingested the RED footage and the audio, made proxies, and backed up to two mirrored drives: one for Swanson, one for their client.
  • 19:00 WrapPlanned: strike both sets, pack the vans, and drive to the next city.

05What it took

Kit, vans and hotels.

  • LightingSeven Aputure LS 600Ds, strobes, softboxes and backdrops, from two London hire houses.
  • VansAn eight-seat van for the team and a kit van, with Ed driving.
  • HotelsOur crew’s, booked in each city. Swanson stayed where their client suggested.
  • ChairsProp chairs for the portraits, found in the UK because the ones Swanson picked weren’t sold here.

Questions

Shooting in the UK with an overseas team

Can you be our UK production service company?

Yes. For Swanson Studio, an Oregon studio filming for Intuitive, we supplied the UK crew and kit, booked the vans and hotels, met the team at Heathrow and drove them between Portsmouth, London and Oxford. Swanson ran their own cameras. More in working with a UK production service company.

Can we bring our own cameras and hire everything else?

Yes. Swanson flew in with their own RED cameras and lenses as carry-on, and we supplied the lighting, grip, sound, hair and make-up, a DIT and the vans. It’s crew hire: crew are paid their full day rate, with our 10% booking fee and 2% insurance on top.

Can you film in several UK cities on consecutive days?

Yes. We shot Portsmouth, London and Oxford on three consecutive days, striking the sets each evening and driving to the next city that night, with the crew’s hotels booked ahead in each one.

How much notice do you need?

Swanson’s enquiry came 19 days before the first shoot, enough to book crew, kit, vans and hotels for three cities. Single-city crews often book faster: most Manchester bookings are confirmed within 48 hours.
