Our Policy Statement
Here Now Films will:
- Provide a safe and healthy working environment for employees, freelancers, visitors, and young persons.
- Identify and control risks in offices, studios, and on location.
- Supply information, instruction, training, and supervision appropriate to each role.
- Maintain safe equipment and working practices.
- Investigate incidents and near misses to learn and improve.
- Review this policy regularly and when activities change.

Scope
Applies to all work we undertake: office, on-location filming, travel, and post-production. Covers employees, PAYE staff, freelancers/contractors, visitors, and work-experience students.
Who’s Responsible
- Managing Director: Overall accountability for H&S, resources, competent advice, and insurance.
- Producers/Project Leads: Day-to-day implementation, shoot briefings, inductions, and RAMS.
- All Workers (including freelancers): Follow procedures, use equipment correctly, and report hazards/incidents.
- Work-Experience Supervisors: Two-adult supervision, age-appropriate tasks, and safeguarding.
How We Manage Health & Safety (Arrangements)
Risk Assessment
- Written risk assessments for office/edit; dynamic risk assessment on shoot days.
- Hierarchy of control: eliminate → substitute → engineer → admin → PPE.
Induction, Training & Briefings
- H&S induction for staff, freelancers, and students.
- Pre-shoot briefings/toolbox talks covering hazards, roles, and emergency plans.
Fire Safety
- Fire Risk Assessment for our premises.
- Induction includes alarm sound, escape routes, and assembly point.
First Aid & Incident Reporting
- First-aid kit on site; trained first-aiders on productions where required.
- All accidents and near misses are logged; RIDDOR reporting where applicable.
Equipment & Electrical Safety
- Only maintained, suitable equipment is used (including PAT where applicable).
- Visual checks before use; defects are removed from service immediately.
Manual Handling
- Avoid unnecessary lifting; use trolleys/assistance.
- Load limits observed; young persons do not lift heavy items.
Display Screen Equipment (DSE)
- DSE assessments for desk/edit roles; ergonomic setup and regular micro-breaks.
PPE
- Provided where residual risk remains (e.g., hi-vis, hearing protection).
- Correct use and care are briefed before issue.
Contractors, Venues & Clients
- We select competent contractors and exchange RAMS.
- We follow venue/site rules and coordinate responsibilities.
Young Persons & Safeguarding
- Two-adult supervision, open-plan working where possible, and age-appropriate tasks.
- No lone working; no work at height, hot lights, or hazardous equipment for students.
- Concerns are escalated immediately via our safeguarding route and to the school contact.
Welfare, Equality & Mental Health
- Adequate welfare facilities, breaks, and reasonable adjustments.
- Respectful, inclusive working culture and workload management.
Driving & Travel
- Planned travel; rest breaks; no mobile use while driving; do not drive when fatigued.
Substances & Environment
- We rarely use hazardous substances; if needed, COSHH assessments are completed.
- We minimise environmental impact where practicable.
Insurance
We maintain Employers’ Liability, Public/Products Liability, and other cover appropriate to our work. A redacted Evidence of Insurance is available on request.
